There were a LOT of people saying they're going to Lake Texoma in October. But since the registration page was made available, only a few of you have signed up. We're going to need a lot more to pre-register if this is going to take place.

I'm planning on going! Just haven't registered yet. I'll do that soon though.
I think the reason many have not registered is because the event is still months away.
How many need to be pre-registered? How many are there?

John, stimpy forwarded your PM, and that's how I know about you. And Blake told me he's sending his in. That makes, um, two. We have set a minimum of 20 registrations to hold the event. If there aren't 20 rooms taken, the meeting room would cost $150, and I want to avoid that unnecessary expense. I know it's very early yet, but I can't wait until a month before the event to know how many are coming. This isn't the 18th annual, you know, it's the first, so attendance is uncertain. Once the minimum have made the commitment, I don't care if the others wait until October 11th.

As JohnF mentioned, my Texoma lodge contact threw some surprises at me: seems he didn't realize how much of the parking lot we desired to rope off; and he plans to give us a smaller meeting room (according to expected attendance) which has no windows, instead of the bigger one with the nice view. Negotiations continue on these points. The Plan-B location has not returned my calls - yes, planning a regional event is just a whole lot of fun!

I'm sure that is a feeling shared by many who plan to attend. What is not taken into consideration in this case is that in order to properly plan for an event, a good deal of lead time is needed. All the cool things that are part of the price of admission must be pre-purchased and pre-planned. Now, it won't take too much money to get things going well, about 25 pre-registrants will get a good time rolling. But a person planning an event like this can't go on RSVPs. Why order a hundered t-shirts if only 50 people show up? Why cater a lunch if the few participants can go to a local restaurant just as well? Why throw a party and take the risk of no-one showing up.

When Chuck and I were in the planning stages of this, my feelings were that if we did not have 25 pre-registrants by the end of June, then all bets were off and there would be no meet. I have since absolved myself of the stress that goes along with orginzing this event, and it's Chuck's party now. However, I am stepping up and putting my money on the bar. I want this to happen and will be sorely dissapointed if it does not. However, if it does not, I have absolutely no doubts that every dime of my pre-registration fee will be refunded.

Please, if you want to attend, please step up and put your money down.

Sorry, I've been procrastinating again. Jane's & mine will be there by the end of June. If we can't make it, you & Chuck keep it for the trouble you've gone to in putting this thing together.
Don

I don't think I'll be getting a room. I think the fam is coming along and we're gonna get a cabin or something. Not completely sure on this yet. Will that matter? Like with the registration and all?

It should be a great outing for a family! And getting a park cabin is a good idea. I'll try to find out about whether it counts towards the meeting room being free (it should), but don't let that affect your plans. Thanks.
